Accounting Specialist – Purchasing

Summary
This position is responsible for the processing purchase requisitions and executing purchasing orders as requested in support of ODURF managed research and foundation administrative activities. This position is designated as a flex work position and is subject to flex work Agreement terms. The position is responsible for scheduling work so that purchases will be timely and maintaining accurate vendor and department records. This position has the possibility of a hybrid remote work schedule. 
Job Responsibilities:
-Processing purchasing requisitions, expediting purchase orders, establishing good vendor/user relationships, and reconciling problems pertaining to procurement and accounting.
-Receive and review all purchase requisitions for accuracy, classification, and authorization; resolves discrepancies with requestor prior to further distribution or processing.

Distribute purchase requisitions as necessary for approval of various types of purchases.
-Process requisitions for supplies; research products on a limited basis as needed; clarifies specifications; documents competitive bidding obtaining additional quotes as directed.
-Prepare all necessary forms, records, reports and other documentation related to purchase transactions.

Assign purchase orders to requisitions and e-mails out completed purchase orders.
-Expedite purchase orders, provide follow up on back orders and verify that purchase orders are completed.
-Maintain log of purchase orders.
-Maintain an up-to-date filing system on of pricing and vendors to ensure immediate and accurate access to information.
-Maintain master list of General Services Administration (GSA) vendors, State Contract Vendors and ODURF pre-approved vendors.
-Confer with Foundation staff, Principal Investigators, and others in solving issues pertaining to purchasing.

Research and resolve items in connection with the maintenance of encumbrance database.

Education and/or training:

Work requires knowledge which would be gained through courses beyond high school, including special training, vocational training, or college level courses.

Level and type of experience:

Work requires approximately two or more years of experience in an accounting, payroll, or accounts payable/receivable role.

Specific knowledge, skills, and abilities:

  • Knowledge of sources of supply, procurement laws and regulations, and purchasing techniques
  • Proficient in Microsoft Office, with experience in Word and Excel.
  • Working Directly with all levels of employees: Performing for people or dealing directly with internal and external customers.
  • Getting Information: Observing, receiving, and otherwise obtaining information from all relevant sources.
  • Evaluating Information to Determine Compliance with Standards:  Using relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
Knowledge of principles and processes for providing customer services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
